Data collection – Excel Spreadsheets – Recording staff time

  • If you have decided to use the excel sheets to keep track of staff hours time for the CARS reporting, It will make your life much easier if you use Quarter increments (.25, .50, .75) instead of the 15 minute increments (.15, .30, .45) so the hours will add up correctly for you. The new system will use the 15 minute increments, that is why the excel spreadsheets were set way. ┬áIf you are not using the excel sheets to keep track of hours for the CARS report then please disregard.
  • If you are using the excel spreadsheets please remember that the “Admin Staff Hours” tab is any “Prevention-related” time that is not connected to an activity(Implementation). For example, admin hours are your prevention-related staff meetings, trainings (received), preparing for p/p/s, assessments, etc. Again, it is for your prevention-related time that is not connected to an activity. It is NOT for vacation time, sick leave, maternity leave, etc.
  • Also please notice that on the 2 implementation tabs, staff hours will be connected to activities. When entering time on implementation tab, that time should include time spent facilitating the p/p/s and any other time related to that p/p/s for the entire day. For example, if my session lasted for 1 hour but it took me 30 minutes to get to the school and 30 minutes to get back to the office. You can lump all those hours together when entering your implementation activity and put 2 hours instead of making 2 separate data entries under implementation and under admin staff hours.
